HubSpot administrators can use the WoodsPortal CreateFolder workflow action to create a folder in HubSpot File Manager and associate that folder with the record enrolled in the workflow.

Before you begin

• Confirm that the WoodsPortal app and required file-manager extension are installed and authorized in the HubSpot account.
• Use a HubSpot workflow for a supported record type and a safe test record.
• Identify the WoodsPortal portal ID that should own the new folder association.
• Plan a folder name and path that will remain understandable as records change.

Configure the workflow action

• Open the intended HubSpot workflow and define its enrollment criteria.
• Add the WoodsPortal Create Folder action, then set Target record to Enrolled contact or the record appropriate for the workflow.
• Enter the Portal ID shown for the intended WoodsPortal implementation.
• Enter the Folder Name. Use HubSpot personalization tokens when the name should include record data.
• Enter the Folder Path. Use / for the root or specify the parent path where the folder should be created.
• Use personalization tokens in the path only when the resulting values form valid, predictable folder names.
• Review the workflow, then test it with the safe record before enabling broader enrollment.

How nested paths work

• A path can place the folder below an existing parent folder.
• When the supported action receives a nested path, missing folders in that path can be created as part of the operation.
• The final folder is associated with the record that triggered the workflow.
• Use stable identifiers or carefully controlled names when different records could otherwise generate the same path.

Troubleshooting

• If the action is missing, confirm the installed app version and the workflow actions available in the connected HubSpot account.
• If the folder is created in the wrong location, check the Portal ID, root slash, parent path, and resolved token values in workflow history.
• If the folder is not associated with the record, confirm that the enrolled object type is supported and review the action result.
• If the action fails, check HubSpot File Manager access, WoodsPortal authorization, invalid path characters, and empty personalization values.
