Portal users can preview supported files, download authorized files, and copy a shareable URL when one is available.
Preview a file
- Open the file in My Drive, Shared Drive, or an authorized record file area.
- Select Preview.
- Review the file in the built-in preview panel.
- Use fullscreen or file details when those controls are available.
- Close the preview to return to the folder.
Supported preview categories
- Images
- PDF documents
- Video and audio
- Common Word, Excel, and PowerPoint files
Download or copy a link
- Open the file action menu or preview actions.
- Select Download to save the authorized file.
- Select Copy link only when WoodsPortal shows an available shareable URL.
- Share the copied URL only with an appropriate recipient.
Limits and troubleshooting
- Preview availability can depend on the file type and source availability.
- A file can be downloadable even when the browser cannot preview it.
- Copy link appears only when a shareable URL exists.
- If an action is missing, review file, object, and portal permissions.
